Understanding Your eBay Invoice

Your invoice is a statement of your seller's account activity for a one-month period. You don't need to take any action when you receive the invoice if you've got an automatic payment method on file to pay your seller fees.

Invoices show the following:

  • Account summary – your name, billing address, User ID, balance and payment method.

  • All fees, payments and credits on your seller account in the last month.

    Note: Due to the time it takes to process charges and payments, there may be slight differences between the invoice amount shown and the amount you are charged. See below.

  • The payment method we'll take the invoice amount from (or payment instructions if you haven't set up an automatic payment method).

Note: If the amount on your invoice seems too high, see below.

How to Get Copies of Your Invoices

We offer the following ways for you to access your account activity:

  • By email: We'll send your invoice to the email address associated with your account.

  • Through the Invoices page in My eBay: Your invoices are available online for 18 months. If you need a hard copy of an invoice, please print it from the Invoices page. eBay can't provide any more than the 18 months of data, and we can't send you a hard copy of any invoices.

  • Via download: You can download the last four months of your invoice data as a CSV file for use with a Microsoft Excel spreadsheet or any application that supports CSV files. To find out how to download an invoice, see below. You can automatically generate monthly invoice downloads (CSV format only) in your My eBay Preferences under "Selling Notifications".

Note: eBay will usually only create and send you an invoice if your account balance is greater than £1.00 during the billing period. To see your account activity and balance when it is less than £1.00, go to your Seller Account page.

Avoid Paying The Same Invoice Twice

If you've already set up an automatic payment method (such as PayPal) to pay your seller fees, you don't need to take any action when you receive your invoice. Your invoice will tell you if you have an automated payment method on file.

If you've set up an automatic payment method with eBay but you prefer to pay an invoice via a one-off payment method (such as credit card), please make the payment as soon as possible after you receive the invoice. If you leave it too long we may have already started to process your automatic payment before we receive your one-off payment. Once your automatic payment is being processed it cannot be reversed.

If you do pay twice, your account will be credited with both amounts. Your account will then remain in credit until you accrue fees that exceed the credit.

Difference Between Invoice Amount and Charged Amount

During the time from when your invoice is calculated to the time payment is processed eBay may apply recent credits to your account, such as payments and item-related credits. If your account is in credit when the invoice is calculated, the amount debited from your payment method account could be less than your invoice amount.

However, we won't add any new charges after we calculate your invoice. New charges are considered part of the next billing cycle.

Downloading Your Invoice or Account Activity

You can download the last four months of your invoice data as a CSV file for use with a Microsoft Excel spreadsheet or any application that supports CSV files. The download will contain detailed information about your transactions, including the line item fees associated with each transaction. Use this information to review your fees paid or perform other financial analyses.

To download your invoice:

  1. Go to My eBay and sign in.

  2. Click “My Account” on the left-hand side of the page.

  3. Click the “View invoices” link and select an invoice to view.

  4. Once your invoice is displayed, click the “Download” link.

    Note: If your invoice is too large to download immediately, you may be asked to generate an invoice. You’ll be notified when it is ready to download.

  5. Save the file or open it in Excel.

To download your account activity data:

  1. Go to My eBay and sign in.

  2. Click “My Account” on the left-hand side of the page.

  3. Click the “View account status” link.

  4. Click the “Download” link.

  5. Specify a date range to download (if appropriate).

  6. Save the file or open it in Excel.

Note: At certain high traffic times, or if your download is very large, it may take longer to download the file. In this situation, we will get the file ready as quickly as possible and send a notification to your primary email address when it is ready for downloading.

Do You Need to Tell Us Your Fees Are Incorrect?

If you've been charged Final Value Fees for transactions where the buyer backed out of the sale for any reason, you need to claim a Final Value Fee credit by filing an Unpaid Item Dispute. Please note that Insertion Fees are generally non-refundable.
