How do I mark my item as paid or dispatched?

You can track the status of items you are buying and selling (if you have a seller's account) and update the status under the 'Take action' column in My eBay:

Marking an item as paid

If you paid for an item and My eBay is still showing it needs to be paid, you can manually mark the item as paid for your own records. Marking your item as paid does not notify the seller. Regardless of what the status shows in My eBay, as long as your seller acknowledges receiving payment, your part of the transaction is complete.

To mark an item as paid:
  1. From the left column of My eBay, click the Won link under Buy.

  2. In the Won section, find the item you want to mark as paid.

  3. From the Action menu, select Mark as Payment Sent. The £ icon turns blue, so you can easily see that payment is complete for the item.

Note: If you pay for your item using PayPal, or the seller marks the item as Payment Received on their My eBay page, the payment status in My eBay will be automatically updated to display as Payment Sent. However, if you paid using another payment method and you manually mark the item as Payment Sent, the seller is not automatically notified.

Marking an item as dispatched

If you posted an item to a buyer and My eBay is still showing it needs to be sent, you can manually mark the item as dispatched for your own records. Marking your item as dispatched tells the buyer that the item has been sent.

To mark an item you sent as dispatched:
  1. From the left column of My eBay, click the Sold link under Sell.

  2. In the Sold section, find the item you want to mark as dispatched.

  3. From the Action menu select Mark as Dispatched. The icon turns yellow, so you can quickly see that the item has been sent.

  4. Optional: You can also send an invoice, relist an item, and print a packing label from the Take action menu.

Mark items as dispatched in bulk

eBay File Exchange users have the option of marking items as dispatched in bulk. It is quick and easy to set up, just follow these steps.

  • Create an eBay File Exchange account (it’s free)

  • Get the ItemID and TransactionID for the item(s) to be dispatched from the 'Paid and Awaiting to Post' or the 'Sold' report

  • Select all the IDs you want to copy then change the cell format to ‘Number’ and set the decimal places to 0. Now copy and paste the IDs into the Mark as Dispatched template

  • Enter the status, the ItemID and the TransactionID

  • Enter the number 1 in the dispatch status field

  • Enter the postal service used and the tracking number (optional)

  • Save the file. Select ‘comma-separated value’ (CSV) format

  • Upload to eBay with File Exchange
